The enquiry exists in the CRM. The notification was sent. The front desk did nothing wrong. Yet by the time somebody replies, the patient may already have booked elsewhere.

This is an ownership problem disguised as an inbox. Enquiries arrive through forms, email, WhatsApp, telephone messages, and referral portals. Separate channels can leave the team unsure whether a conversation is already underway elsewhere.

Define what a response is

An automatic acknowledgement is useful, but it is not a handled enquiry. A handled enquiry has a named owner, an appropriate answer, and a next action. Measure time to meaningful response, not time to autoresponder.

Make the exception visible

A useful design can gather enquiries, matches duplicates, drafts routine replies, and puts anything clinical, unclear, or sensitive in front of the right person.

Watch the second reply

The timer should restart after every patient message until the enquiry is booked, closed, or deliberately paused. A fast hello followed by silence is still a leak.
